Information arriving in forms, PDFs or scans often needs reading, retyping into another system and checking.
Our document workflow extracts agreed fields, checks your rules and flags uncertain items. Records reach your destination only after an authorised person approves them.
A tangible result
Here’s what the work includes.
Receive the agreed document family
Extract approved fields into a consistent record structure
Check required values, formats and duplicates
Flag unreadable, missing or conflicting information
Show each proposed record alongside its source
Require human correction, rejection or approval before writing the record
Provide a processing log, failure route and operating handover
Define “done” together
Work you can inspect.
We create a representative test set with your reviewer and agree field-level measures before work starts. The test includes normal documents, low-quality scans, missing fields, duplicates and unsupported layouts.
We compare extracted values with the reviewer-approved reference records and report errors by field. We also verify that flagged items enter the review queue, rejected documents do not create records and no record bypasses the approval step.
We don't promise perfect extraction or universal accuracy. What matters is whether the workflow meets the agreed checks on representative documents and helps your reviewer work reliably.
Scope, price, and what happens next
No guesswork at the handover.
Scope, fee, payment schedule, delivery window and support terms are agreed before work starts.
REVIEW & APPROVAL
Agree the work before it starts.
Your written scope defines deliverables, inputs, approval steps, timing, revisions, and completion checks. Any new requirement is separately agreed. Business outcomes such as revenue, rankings, or fixed time savings are not guaranteed.
COSTS & CONTINUITY
Know what it takes to run.
Tools, usage, source updates, hosting, and monitoring are included only where stated. The proposal identifies ongoing costs and the support window. Additional work needs agreement; monthly capacity is bounded.
The handover documents the agreed access, responsibilities, controls, and known limitations. Ownership and licensing are specified in the written agreement.
Before you decide
A few useful answers.
Can it process any PDF or scan?
No. We agree supported document types, layouts and quality requirements. Unreadable or unfamiliar documents go to a person.
Does someone really check the records?
Yes. An authorised reviewer approves every proposed record before it reaches the agreed destination. They can correct or reject it.
What if the extraction looks confident but is wrong?
Confidence is not proof. The review screen shows the source, and our test report identifies observed errors and limitations.
Can we use documents containing personal data?
Only after we agree the lawful purpose, necessary fields, approved processing tools and handling rules with your authorised owner. Sensitive data needs additional review.
Will it approve invoices or release payments?
No. It can prepare a checked record within scope. Approval of expenditure and movement of money stay in your existing authorised process.
Can we expand to other document types later?
Yes. Each new document family requires representative samples, a field map and its own agreed tests and scope.
